How RacePace handles your data

RacePace is a coach-and-athlete training application operated by RacePace Performance Coaching. This policy explains what information the app processes, why it is needed, who can see it, and how to request deletion.

Location recording is session controlled. RacePace collects precise location only after an athlete deliberately starts the Session Runner. It is used to calculate distance, pace, laps and route points during that workout, including while the screen is locked or the app is in the background. Android uses an active-session foreground notification while recording; on supported versions, notification permission controls whether it appears normally in the notification shade. Recording stops when the session is stopped. Location is not used for advertising.

1. Who operates RacePace

RacePace is operated by RacePace Performance Coaching, South Africa. Privacy questions and verified account-deletion requests may be sent to clint@racepace.co.za.

2. Information processed by the app

Account and profile informationName, username, email address, mobile number, date of birth, athlete group, event and coach assignment. Passwords and PINs are stored as one-way hashes rather than readable values.
Training and fitness informationPlanned and completed sessions, distance, duration, pace, RPE, training load, repetitions, splits, race details, shoes, feedback and notes.
Location and activity filesPrecise GPS points recorded during an active Session Runner workout and FIT files deliberately uploaded by a coach or athlete. Route points may be retained with the workout even when a map is not displayed.
Messages and user contentCoach-athlete messages, workout comments, session instructions and other information entered into the app.
Technical and security informationLogin cookies, browser storage needed to restore app state, device/browser details, server logs and security events.
Notification informationNotification permission choices, an app-specific Firebase registration token used to reach the signed-in device, and notification settings. The token is used for RacePace service messages and is not used for advertising.

3. How the information is used

4. Coach and athlete visibility

Athlete training information is visible to the athlete and the coach assigned to that athlete. Coaches can create, review and correct training records as part of the coaching service. RacePace does not sell personal or sensitive information and does not use it for targeted advertising.

5. Service providers and optional AI

Information may be processed by hosting, database, email and security providers that support the RacePace service. Android session-comment notifications use Google Firebase Cloud Messaging, which processes an app-specific device registration token and notification-delivery information. The app also loads web fonts from Google, which may receive standard network request information such as an IP address and browser details.

When a coach or athlete opens an interactive completed-workout map, RacePace requests map tiles from OpenFreeMap and, when the optional Satellite view is enabled, MapTiler. Those providers may receive standard network information such as the device IP address, browser details and the requested map-tile coordinates, which indicate the approximate geographic area being viewed. RacePace does not send login credentials, athlete names or workout notes to the map provider. The map is loaded only when the completed workout is opened and is not used for advertising.

When a coach deliberately selects Polish with free AI, the workout-feedback draft and relevant workout context are sent to Cloudflare Workers AI for that requested wording task. The feature is optional and is not used automatically.

6. Security and storage

RacePace uses HTTPS for data in transit, server-side access controls, hashed passwords/PINs and secure login cookies. Android cleartext traffic and operating-system backup of the app container are disabled in the Play Store build. No system can guarantee absolute security, so users should keep login details private and report suspected account misuse promptly.

7. Retention and deletion

Data is kept while the account is active and as needed to provide coaching, maintain records, resolve disputes and meet legitimate legal requirements. A verified deletion request removes or anonymises the account and associated app data, including stored FIT files, unless specific information must be retained by law or for a documented legal claim. Residual backup copies may remain until they are overwritten through the normal backup cycle.

Users may request deletion from the in-app Privacy & data link or the public RacePace account-deletion page. RacePace aims to complete verified requests within 30 days.

8. Athletes under 18

RacePace is a coach-managed training service and may include teenage athletes. A coach, club, parent or guardian should ensure that the appropriate consent and authority exist before a minor’s profile is created or location recording is used. RacePace does not display advertising or sell data about minors.

9. Health and safety

RacePace provides training-planning and performance tools. It is not a medical device, does not diagnose or treat medical conditions, and is not a substitute for professional medical advice. Athletes should stop exercise and seek appropriate help when they experience concerning symptoms or injury.
